2.   PURPOSE

  • To provide effective administrative support services.

3.   DIMENSIONS

Financial:         Nil

Staff:                Reports to the Administration Officer (Transport), Administration Officer (Logistic) and to the Senior Administration Officer in the absence of his/her superiors.

Others:            Nil.     

4.    PRINCIPLE ACCOUNTABILITIES

  • Provision of reliable and safe driving services to the departmental staff and other senior executives
  • Maintenance of daily departmental vehicle fleet
  • Management of Log Books and other associated records
  • Perform and assist in other administrative duties as and when required.

5.    MAJOR DUTIES

  • Provide safe, sound and effective driving duties to departmental staff;
  • Provide a report on the condition of the departmental fleet;
  • Ensure departmental fleet is maintained, neat & tidy and is fully operational on daily basis;
  • Administer the vehicle log book and mileage usage records effectively;
  • Assist in collecting, delivering and sorting out departmental mailing system with respect to incoming and outgoing correspondences with the department and other externalagencies;
  • Enforce coordination and usage of departmental fleet;
  • Assist in photocopying, filing documents and answering telephone calls; and
  •  Assist and perform other administrative duties as and when required. 

6.    NATURE AND SCOPE

This position requires an incumbent with at least Grade Ten and a relevant tertiary qualification as he/she will provide competent and reliable transport reports to the Administration Officer (Transport) and Senior Administration Officer through his/her immediate supervisors.

6.1     WORKING RELATIONSHIP

(a) Internal

  • Reports to Transport Officer on daily departmental transport support activities.
  • Liaise and consult with departmental staff regarding fleet associated management tasks.

(b) External                  

  • Assist and maintain good relationship with colleagues from works and Supply and other agencies. 

6.2 WORKING ENVIRONMENT

The position is located in Department of Personnel Management at Waigani, NCD and provides 

 effective and reliable administrative driving support services to the departmental staff.

8.   CHALLENGES

The position requires an incumbent who is committed and reliable. The job holder is required to ensure effective, reliable and safe day-to-day administrative driving support services to the departmental staff .

9.    QUALIFICATIONS, EXPERIENCES AND SKILLS

The ideal candidate must possess the following personal attributes particularly:-

(a) Qualifications

  • Minimum of Grade Ten (10) but Grade Twelve (12) qualification is preferred.

(b) Knowledge

  • Excellent understanding of Road Transport Safety Rules and Regulations;
  • Security & Safety Intelligence;
  • Good office procedures and protocols;
  • Good understanding of PTB processes and procedures;
  • Vehicle maintenance;
  • Radio Communication; and
  • Internal Administrative procedures and procedures.  

(c) Skills

  • Excellent Defensive Driving Skills
  • Good Communication Skills (Oral & Written)
  • Outstanding Customer Service
  • Interpersonal
  • Two (2) Way Radio Communication Skills.

(d) Work Experience

  • At least five (5) years work experience as a Driver is desirable;
  • Clean Police Record;
  • Medically fit; and
  • Must be honest, reliable and of good character.
