1. PRINCIPLE ACCOUNTABILITIES
1.1 Contribute to ensure mails and correspondences are received promptly by collecting mails, correspondences and distribute to officers, and personally deliver correspondence to offices as requested by the officers of the Branch.
1.2 Contribute to the efficient operation of the office by serving clients, assisting in typing, photocopying and filing correspondences.
1.3 Ensure cleaning equipment/tools are readily available for use each day by properly keeping them in a secure place.
1.4 Ensure the office is clean at all times by providing cleaning services in empting trash bins, cleaning office floor, office equipment/furniture, cleaning of cups, and making of tea/coffee for officers.
1.5 Ensure the cleaning equipment and cleaning chemicals are safe to use by providing sound advice on the condition/status of the equipment and chemicals.
1.6 Complete specific tasks determined and /or directed by the Senior Administration officer.
1.7 Attend to queries from clients coming to enquire about issues relating to Sciences Curriculum and make appointments to see Assistant Secretary for Sciences.
2. QUALIFICATIONS, KNOWLEDGE, WORK EXPERIENCES AND SKILLS
2.1 Qualifications
2.1.1Grade 10 or 12 level of Education
2.1.2 Certificate in office administration or clerical studies is preferable.
2.2 Knowledge
2.2.1 Office procedures
2.2.2 Knowledge of safety rules
2.2.3 Knowledge of hygiene and cleaning chemicals usage
2.2.4 Public Service General Orders & Instructions.
2.3 Skills
2.3.1 Ability to provide courteous client service.
2.3.2 Sound oral communication skills.
2.3.3 Computer & copier literate
2.4 Work Experience
Must have experience in general clerical duties (i.e. mailing, filing, photocopying, typing and other duties) and client service.
