Designation : PROFESIONAL ASSISTANT TO DEPUTY SEC POLICY & PROVINCIAL SUPPORT SERVICES (Code- EDU23-00026)
1. PRINCIPLE ACCOUNTABILITIES
1.1 Co-ordinate the day to day activities of the Deputy Secretary - Policy & Provincial Support Service.
1.2 As directed by the Deputy Secretary to carry out investigations into and provide advice on specific related matters of concern and interest to the Directorate Head.
1.3 Under the direction of the Directorate Head, liaise with the appropriate bodies within the country and overseas on matters of concern and interest, for example;
1.3.1 Follow up actions on decisions which are required to be implemented.
1.3.2 Obtain appropriate information form concerned and related bodies and advising or preparing reports or briefs on the same.
1.4 Examine and monitor quality of official correspondence, briefs and reports requiring the signature of the Directorate Head.
1.5 Examine and provide written summary of the main points of reports for the Directorates Head.
1.6 Carry out research into related problems and documents as identified by the Directorate Head and compile findings and report for his/her use.
1.7 Assist the Directorate Head in preparation for important meetings and conferences, including the drafting and writing of speeches and briefs, schedules of travel and protocol matters.
1.8 Where required, to accompany the Directorate Head to selected meetings and conferences to act as Executive Officer.
1.9 Incorporate Gender Equity and Social Inclusion Principles and values of Honesty, Integrity, Accountability, Respect, Wisdom and responsibility in programs, activities and initiatives to foster positive work ethics.
2. QUALIFICATIONS, EXPERIENCES, KNOWLEDGE AND SKILLS
2.1.1 Bachelor in Management/Education or Arts Degree.
2.2 Work Experience
2.2.1 Three to four years’ extensive administrative experience in Government Department and the ability to carry out research and investigative work.
2.3.1 Department of Education’s systems, policies and reforms
2.3.2 National Government’s system, policies and reforms
2.3.3 International Relations and issues which include protocol matters.
2.4.1 Good oral and written skills to write and presents reports, speeches and briefs.
2.4.2 High order of interpersonal skills.
2.4.3 Computer skills.
