Job Description / Responsibilities:

1. PRINCIPLE ACCOUNTABILITIES

1.1. Provide assistance on professional and administrative matters raised by officers in the region, which requires liaison with other branches in the division.

1.2. Liaise with Administration Coordinator and ensure all acquittals of advances (travel, accommodation, etc.) are properly done within the required period by the officers.

1.3. Assist in creating, maintaining, and updating a database for all assets for the region branch to make advance planning for assets procurement and disposal purposes.

1.4. Manage the day-to-day administrative tasks within the regional office to assist with the achievement of the outcomes designated in the National Education Plan (NEP) 2020 – 2029.

1.5. Assist in creating, maintaining, and updating a database for all staff members of the branch (Highland region – Eastern End) to make advance planning for staff appraisals, training, budgeting, and other staff entitlements.

1.6. Assist in ensuring efficient maintenance activities and service agreements are met and regularly updated for the smooth operations of the branch.

1.7. Perform any other responsibilities or tasks as directed from time to time by the AS – Highlands region – Eastern End and other senior management of the Division.

2. QUALIFICATIONS, EXPERIENCES, KNOWLEDGE, AND SKILLS

2.1. Qualification:

2.1.1. The minimum entry requirement for this position is a Diploma or higher:

2.1.1.1. Diploma in Education Management/Administration, Finance, or relevant.

2.2. Knowledge:

2.2.1. Education Act, Public Finance Management Act, Finance Manual, and other relevant legislations.

2.2.2. Public Service General Orders.

2.2.3. Sound knowledge of the Education System, policies, and procedures.

2.2.4. Sound knowledge of the new PNG curriculum and of the changes required by teachers in their delivery of effective learning programs to produce high-quality student outcomes.

2.3. Skills:

2.3.1. Planning, organization, management, and administration skills.

2.3.2. Excellent interpretation, analytical, and innovative skills.

2.3.3. Excellent interpersonal skills.

2.3.4. Computer skills, especially in Microsoft Word, Excel, and Access.

2.3.5. Excellent communication skills; both oral and written.

2.4. Experience:

2.4.1. 3 – 5 years’ experience in the Public Service.

2.4.2. Past experience in a similar administration/operations role will be an advantage.
