1. PRINCIPLE ACCOUNTABILITIES
1.1. Ensure accurate, correct and complete information is entered into Alesco at all times by supervising the creation/abolishment/reclassification of Department structure and positions administrative positions in head office.
1.2. New commencements (administrative staff) appointed to approved positions are put on payroll immediately by ensuring all requirements are met for Biodata and salary files to be created, and required information are entered into Alesco.
1.3. Manage administrative Master Position Register (MPR) and vacancy positions and department register activities to ensure the maintenance and distribution of accurate and up to date MPR reports to the relevant officers in head office.
1.4. Manage and supervise the processing, printing and issuance of Organization’s identification cards.
1.5. Inform Education Officers by communicating personally or preparing responses for the supervisor on MPR or any other establishment matters.
1.6. Supply accurate weekly statistics to Process Analyst & Training Officers by managing collection and compilation of statistics of transactions undertaken within the team.
1.7. Encourage and coach staff to achieve excellence by providing regular constructive feedback on performance and achievement of works area goals.
1.8. Lead and provide accurate data on the manpower ceiling and report the status of officers’ positions; unattached officers, Acting holders, Short Term Contract (STC) officers and casuals on the Establishment register.
1.9. Achieve and exceed client satisfaction by ensuring the section provides consistent and efficient client service through performing of various processes and roles.
1.10. Contribute to maintain performance by ensuring subordinate provide cover and relief assistance to work area when required on own initiative.

2. QUALIFICATIONS, KNOWLEDGE, SKILLS, WORK EXPERIENCES
2.1. Qualifications
2.1.1. Degree qualification in Arts, Education, HRM, or Management.
2.2. Knowledge
2.2.1. Thorough knowledge of principles and practices of effective administration and supervision.
2.2.2. Sound knowledge of the Alesco processes in creating/abolishing and reclassification of positions.
2.2.3. Sound knowledge of customer service principles and practices.
2.3. Skills
2.3.1. Effective communication skills; both oral & written.
2.3.2. Computer literate & able to use Microsoft Application – Word, Excel, Power Point, etc
2.3.3. Proven Leadership skills
2.3.4. Problem solving skills
2.3.5. Good organizational skills
2.3.6. Strong interpersonal and analytical skills.

2.4. Work Experience
2.4.1. 2-3 years’ experience in a supervisory position at clerical level.
2.4.2. Further experience in using computerized HRMIS is an added advantage.
