1. PRINCIPLE ACCOUNTABILITIES
1.1. Ensure the First Assistant Secretary for Human Resource Management office is managed efficiently by keeping the Appointments and Meetings book updated, organized meetings, conferences and functions as required and the filing systems.
1.1. Provide excellent secretarial services by;
1.1. Taking shorthand notes and transcribe with due regard to layout and work presentation.
1.1. Taking dictations from Dictaphones and transcribe.
1.1. Do fact-finding and provide written information to the supervisor.
1.1. Provide sound advice on secretarial matters relating to the office of the Assistant Secretary by attending to office procedures, official visitors and screening telephone calls as directed.
1.1. Attend to arrangement for official travel, functions and other similar duties.
1.1. Provide relief assistance to work area when required on own initiative.

2. QUALIFICATIONS, KNOWLEDGE, SKILLS, WORK EXPERIENCES
2.1.1. Grade12 qualification with certificate in Basic Secretarial/Stenography.
2.1.1. Further training in office administration is preferable.
2.2.1. Knowledge of office procedures.
2.2.1. Knowledge of office administration principles and practices.
2.2.1. Knowledge of customer service practices.
2.3.1. Stenographic and typing speed of 60 words per minute
2.3.1. Short hand note taking.
2.3.1. Computer literate especially the use of Microsoft Excel and Word.
2.3.1. Ability to provide courteous client service.
2.3.1. Excellent oral communication
2.4. Work Experience
2.4.1. 2 – 3 years extensive experience in a position of Executive Assistant in a large organization.
