Job Description / Responsibilities:

1. PRINCIPLE ACCOUNTABILITIES

1.1 Support the office of the Senior Administration Officer to provide efficient service by carrying out the client service responsibilities. 

1.2 Register and distribute incoming and outgoing correspondence to officers within the division/branch to take action.

1.3 Maintain an accurate filing system by sorting and filing correspondence in the manual filing system and maintain an electronic record of incoming and outgoing correspondence.

1.4 Ensure telephones calls are screened before forwarding to the Senior Administration Officer or other officers within the division/branch.

1.5 Write correspondences and carry out any other tasks when requested by the Senior Administration Officer. 

1.6 Incorporate Gender Equity and Social Inclusion Principles and values of Honesty, Integrity, Accountability, Respect, Wisdom and responsibility in programs, activities and initiatives to foster positive work ethics.

 

2. QUALIFICATIONS, KNOWLEDGE, SKILLS  AND WORK EXPERIENCES 

2.1 Qualifications

2.1.1 Grade 12 certificates with a Certificate in Office Administration or relevant is preferable.

2.1.2 Certificate/Diploma in office administration or clerical studies is preferable.

2.2 Knowledge

2.2.1 Sound knowledge of office procedures.

2.2.2 Sound knowledge of office administrative principles and practices.

2.3 Skills

2.3.1 Ability to priorities activities to meet deadlines.

2.3.2 Sound written and oral communication skills. 

2.3.3 Good knowledge of MS word/excel applications.

2.4 Work Experience

2.4.1 2 years’ in office administration with customer/client service experiences is preferable.
