Designation : ADMINISTRATIVE CLERK - TRUST ACCOUNTS (Code- EDU23-00983)
1. PRINCIPLE ACCOUNTABILITIES
1.1 Receive, register and update incoming requisitions/claims and refer them to Senior Trust Officers for decision making/authorization.
1.2 Act as enquiries clerk and doing filling duties by receiving and compiling trust documents and Monthly Financial reports from National Institutions and the Project Trust Account Holders.
1.3 Liaise with Divisional clerks/trust holders & National Institutions registrars regarding trust matters so that reports are sent on time for information updating
1.4 Liaise with Divisional clerks and Project Trust Accounts Holders regarding queries on trust claims if they are rejected and needing required documents to be attached.
1.5 Assist in the reconciliation of Trust Accounts by requesting and collecting reports from PGAS & Finance Department.
1.6 Liaise with National Institutions Principals/Registrars and the Headmasters for the submission of their Monthly financial reports.
1.7 Organize and arrange Trust Account Meetings by contacting members by phones and letters and minutes.
1.8 Attend to correspondence, counter queries and follow ups on letters to Finance Department on Trust Source Listings, Trust Deeds requests and approvals or matters relating to trust from other stakeholders.
1.9 Assist in the Preparation of reports for Quarterly Trust Account meetings and Mission Building Subsidy and other Trust related meetings.
1.10 Perform other duties as directed consistent with the above.
2. QUALIFICATIONS, KNOWLEDGE, SKILLS, WORK EXPERIENCES
2.1.1 Satisfactory completion of Grade.12 Certificate.
2.1.2 Certificate in Accounting/ Business Management/Commerce is highly desirable.
2.2.1 Cash Management and Reconciliation procedures
2.2.2 Quick books Chart Of Accounts procedures
2.2.3 Computer Knowledge (Excel and Microsoft Word)
2.2.4 Basic Book keeping
2.2.5 Government Accounting System.
2.3.1 Good Communication skills
2.3.2 Effective Human relations
2.3.3 Computer literate (Excel/Microsoft Word/ QuickBooks)
2.3.4 Cost Benefit and Analysis
2.3.5 Negotiation skills

2.4 Work Experience
2.4.1 Have 1 – 2 years’ Experience in Accounting and Trust Accounts Management Procedures.
